Cancellation Policy

Northwest Adventure Company understands that family schedules change and unexpected events occur. We do our best to accommodate schedule changes and cancellations in our programming while maintaining a sustainable business model. Credits and refunds vary by program type. Please see below.

Regularly Scheduled Programming

One-off Cancellations

For long-term programs for which you sign up by term, we cannot offer refunds or credits for regularly scheduled days that your child does not attend. 

Example: Let’s say your child is signed up for Tuesdays and Thursdays in the After School program for the month of May.  You have to schedule a dentist appointment for the third Tuesday that month. Please do let us know they will not be attending that day, so the instructors are not looking for them at school. However, please understand we cannot offer a refund nor credit for missing a regularly scheduled day. 

Terms:
After School: Monthly
Homeschool & Martial Arts: Seasonal Trimester (Fall, Winter, Spring) 
Weekend & Preschool: Annual

Cancellation Within Terms

If your family decides to unenroll from regularly scheduled NW Adventure Co. programs, the following cancellation policy applies:

Notice provided 8 days - 30 days prior to unenrollment:
     100% Camp Credit (this would be posted to your account and can be utilized towards any of our camp programming)
     
50% Refund (returned to the same card upon which the purchase was made beginning September 2022; purchases made prior to that date will be mailed to your preferred mailing address by check)

Notice Provided 0 - 7 days prior to unenrollment
     No refund nor credit can be issued 

Company Cancellation

It is rare, but the company may need to cancel programming for a couple select reasons. Please see our Environmental Conditions policy and our Low Enrollment policy outlined in the final section of this document.

Schedule Changes

We can sometimes accommodate one-off changes to your schedule within the term if they are requested and approved at least a full week in advance. This will be determined on a case-by-case basis depending on that program’s enrollment.  If you need to make a permanent change to your child’s schedule, please do so at the beginning of each term. Drop-Ins

If you would like to add a day to your student’s regular schedule as a drop-in, please request it at least 7 days in advance. Approval will be on a case-by-case basis depending on that program’s enrollment on the requested day. Please inquire with sara@nwadventurecompany.com.

Camp Programming

(Including No School Day camps, Break Camps, and Summer Camps)

Cancellation Notice:

Notices for All Programs

Environmental COnditions POlicy

While program cancellations due to severe environmental conditions are a rare occurrence, they do happen occasionally. We do everything that we can to avoid it, but at times we must make the hard decision to cancel a program due to safety, such as extreme heat or poor air quality. If we cancel a program due to such conditions, we make every effort to reschedule or move your camper to a future program. If we cannot reschedule, you may elect to receive a full credit toward future programming.

Low Enrollment Cancellations

If a program’s enrollment drops below the minimum enrollment requirement, we will need to cancel programming until enrollment increases again. We will do our best to prevent this from happening, and the word of mouth you spread greatly supports us in this endeavor! If we do need to cancel due to low enrollment, you will receive a full refund and we will provide at least 2 weeks notice.

Missing Due to Covid

If you or your child has to miss programming because they are ill with COVID or are in quarantine due to exposure, we unfortunately cannot provide a refund or credit. We wish your family a smooth and quick recovery, and thank you for staying home during that time.
